Write not observed, not yet verified, authority being checked, approved alternative unavailable, qualified assessment pending, or not applicable when that is the truth. Do not turn a delayed reply into permission, a repeated attempt into a diagnosis, or arrival pressure into authority to bypass a control.
Record the Event in Seven Steps
1. Preserve one factual first observation
Record who attempted which approved method, where, when, for what approved purpose, and what they directly observed. Copy an error message only when doing so reveals no credential or sensitive account information. Note the local time zone because a guest arrival, caretaker call, provider appointment, and administrator response may otherwise appear in the wrong order.
Prefer physical key KEY-02 entered front-door cylinder but did not rotate at 18:12 to lock is broken. Prefer app displayed “device unavailable” after approved user selected unlock at 18:15 to smart lock is offline. The first versions are observations. The second versions claim causes that the person may not be able to establish.
One attempt can involve several observations, but do not combine unrelated events. A rejected gate fob on Friday and a misplaced provider key on Monday need separate owners, exposure reviews, evidence, and close-out tests.
2. Stop before exposing or bypassing a control
Do not paste a code, password, recovery link, administrator screenshot, spare-key location, alarm instruction, identity record, or complete occupancy plan into the exception. Do not ask the arriving person to try improvised tools, force a door, climb, defeat a gate, use another person's account, tailgate through shared access, or change permissions.
Point to the method ID and controlled instruction location. Confirm only that the arriving person can reach the information their approved role requires. If a screen capture is useful, frame the minimum error state and remove unrelated personal, security, account, or booking information according to the group's real process.
Repeated attempts can change the situation. They may consume a device limit, trigger a lockout, drain a battery, damage a key or mechanism, alert another party, or create an unclear activity history. Follow the current manufacturer, building, caretaker, property, insurer, and qualified route instead of inventing a universal number of retries.
3. Separate urgency from inconvenience
Ask whether the event includes an immediate risk to a person, a child or dependent inside, fire or smoke, gas, flooding, severe weather exposure, an unsecured property, active damage, a medical concern, or another condition covered by the property's verified emergency sources. The exception log does not decide whether a situation is an emergency or supply a universal response.

4. Verify authority before choosing an alternative
Find the current source that says who may coordinate the event, administer the affected method, contact the building or provider, issue an alternative, approve a provider visit, or change a permission. That source might be a co-ownership agreement, trust or company record, building rule, provider account, approved group policy, booking approval, insurer direction, court order, or qualified advice.
Holding one key, being physically closest, having paid for the lock, receiving an app notification, or managing the booking does not automatically grant broader authority. A coordinator can keep the record moving without gaining permission to disclose a backup, add an app user, order a lock change, admit a provider, approve a charge, or decide another person's access rights.
Record the authorised person's name or role, the source, the approved contact route, each attempt, and each attributed response. If authority remains unclear, protect people and property through the real urgent route and mark the ordinary access decision blocked.
5. Use only an approved alternative route
An alternative could be another registered physical method, an approved host, an authorised caretaker, a building-managed route, a provider-controlled recovery process, or a changed stay or appointment. Record the alternative method ID or practical arrangement without reproducing its operational secret.
For the alternative, capture:
- who approved it and from which current source;
- its audience, purpose, area, and time window;
- who issued or administered it;
- the exact handover or activation state;
- what return, expiry, revocation, or test must follow; and
- the result observed by the intended user.
“Backup sent” is not enough. The record should show whether the correct authorised person received the right route, whether it worked for the intended scope, and what closure action remains. If no approved alternative exists, record the effect honestly and coordinate accommodation, travel, booking, provider, or appointment changes through their proper owners.
6. Notify only the people who need the result
Someone arriving needs a practical status and next contact, not the entire access architecture. An affected co-owner, guest, provider, building contact, caretaker, or neighbour should receive only the facts and actions necessary for their approved role.
Use messages such as normal front-door access is unavailable; approved host will meet the arriving household at 19:00 or provider visit PV-021 is blocked; visit owner is arranging a new appointment. Avoid naming restricted backups, broadcasting that the property is empty, sharing other households' bookings, or copying private disputes and credentials.
Link the communication reference to the booking, visit, or task. Preserve material changes and acknowledgements when the group's real process requires them. The exception log should not become a surveillance record or a permanent history of everyone's movements.
7. Close every security and operating handoff
Restored entry is not always the end. Decide which lasting records must change without assuming why the exception occurred. Possible handoffs include:
- an access-register exception, test, return, revocation, or replacement state;
- a lost-key, credential-exposure, security, privacy, or account-recovery route;
- a qualified lock, door, gate, device, network, power, or building assessment;
- a provider visit, repair, damage, insurer, document, expense, or payment record;
- an affected booking, changeover, guest instruction, or caretaker arrangement; or
- a review of the approved backup without publishing its details.
Define evidence for each handoff. Door opened does not prove the ordinary method works, that a lost key is controlled, that a temporary permission expired, that a lock is secure, or that a provider's work is complete. The exception can close as arrival completed; ordinary-method assessment remains open under task MAINT-044 when that accurately separates the states.

Do not use the table to diagnose equipment or select an intervention. The same observation can require a different response at another property, in another jurisdiction, under another building rule, or when a person is at risk.
Fictional Example: A Guest Fob Is Rejected
Three siblings privately share an apartment used only by their known households and invited guests. An approved guest household is due at 18:00. The booking record points to temporary method FOB-GUEST-03, administered under the building's current process. The access register contains its audience, issue window, administrator, controlled source, and closure action. It contains no credential or backup location.
At 18:07, the arriving adult reports that the fob reader displayed a red indicator twice at the main entrance. They do not know whether the fob, reader, permitted time, or building system caused the result. Morgan opens ACCESS-EX-014, records the approved booking and method IDs, local time, entrance, direct observation, and a tightly framed photo of the reader state that contains no people or access detail.
Morgan checks the group's current access source. It identifies Priya as the authorised administrator and Lee as the arrival coordinator. Morgan does not ask the guest to follow another resident, test private entrances, borrow another household's fob, or publish the fob number. Priya uses the building's verified contact route. Lee tells the guest that normal entry is unavailable and gives a meeting time in a public nearby place without describing the home's backups.
The building contact says the guest permission begins at 19:00, not 18:00, and supplies the current source record. Priya does not silently edit the original booking or access row. The authorised booking owner confirms the approved arrival time was 18:00 and uses the building's real correction process. At 18:42 the building contact confirms the permission update. Priya tests the intended route with the guest, records the successful result, and retains the attributed response.
Lee closes the arrival effect after the household enters. Priya keeps the access-register correction and expiry check open until the next morning, when the building record shows the temporary permission ended as intended. The exception closes only after the booking, controlled instruction, access row, and expiry evidence agree.
This fictional outcome proves no general right, building error, device cause, response time, or correct intervention. A real event may remain blocked or require a different building, manufacturer, emergency, insurer, security, legal, or qualified route.
Review the Log Before Closing It
Check that:
- the record covers one event and names its approved purpose;
- method, booking, visit, task, and property references are accurate;
- observation, report, inference, and diagnosis are visibly separate;
- no credential, backup location, identity record, or broad occupancy detail appears;
- urgent welfare, safety, security, weather, or damage concerns used the current real route;
- the coordinator, administrator, provider contact, and decision-maker had the required authority;
- every alternative shows its source, audience, window, result, and closure action;
- affected people received the minimum useful practical update;
- access, booking, provider, maintenance, security, insurer, expense, and document handoffs remain separate; and
- closure evidence covers temporary access expiry, ordinary-method state, and every residual exception.

Can a co-owner authorise alternative entry?
Only when the applicable source gives that person the necessary authority for that property, person, purpose, area, and time. Co-ownership, proximity, booking coordination, or possession of one method does not by itself prove broader access-administration rights.
What if a guest or provider is waiting outside?
Give them a practical status, safe waiting or changed-arrangement information from the authorised coordinator, and the next contact time. Do not let arrival pressure expand the approved scope or expose backup details. Record booking, travel, accommodation, or appointment effects in their proper records.
What if someone or the property may be in danger?

Does successful alternative entry close the event?
Not necessarily. Close the arrival effect separately from the ordinary method, temporary permission, lost item, security exposure, maintenance need, provider response, and document updates. Each open handoff needs an owner, trigger, and evidence.
Should the log contain photos?
Only when a minimal image serves a defined purpose and the group's real privacy and security rules allow it. Frame the observed property or error state, exclude people and unrelated belongings, avoid credentials and security details, record why the image exists, and retain it only as required.
